SECTION 1.1.4The company shall have a demonstrable meeting programme which enables food safety, legality and quality issues to be brought to the attention of senior management at least monthly and allows for the resolution of issues requiring immediate action.

The section above, i was wondering what you have in the content of this or what needs to be discussed and also timescale recommendations. I would really appreciate some feedback regarding this

You haven't stated which standard you are following. This would be helpful for many of the IFSQN volunteers.

You would discuss all things food safety. You would bring to the attention of senior management issues or ongoing projects that could potentially cause a risk to food safety or quality. If there is a change with your country's legislation, this would also be raised. You would discuss changes within your business that require ongoing monitoring.

In regards to the timescale, again follow your standard for a guideline. You should already have in place a Corrective Action Register. What is your timeline to close these out? Consider minor, major, and critical situations that could potentially affect the safety or quality of your products. Each issue will be unique to your business. Use logic on the timescale. Think like an auditor.

An example of some topics you would discuss are:


Customer Complaints
· Statistical evaluation of ongoing customer complaints
· Trend analysis focussing on repeated issues, batch/date codes

Verification Performance
· Review summary of adverse findings relating to microbiological, chemical and physical assessment
· Review shelf life validation testing performed based on both Organoleptic and microbiological testing
· Review microbiological swabs of cleaning procedures

Technical Issues
· Production and environmental changes that may have an impact on flow process diagrams and HACCP plans
· Process or product changes
· Change of faculty or major construction work

Suppliers
· Change of suppliers?
· Change of contractors?

Product & Formulation Changes
· Review any potential changes to formulations that may have an impact on recipe, specifications and artwork
· Review allergens and identify any furthers risks has been identified or changes required to allergen policy

Internal & External Audit Outcomes
· Provide summary of audit outcomes, non-conformances outstanding issues for both internal and external audits

Specifications
· Provide summary of any issues relating to product assessment, specification complaints, etc
· Label review
· Where changes evident, has this been communicated to major clients and approval granted

Commercial
· Changes to major clients’ business relating to supply, deletion or additional product lines
· Packaging changes

Allergens
· Review if any new process inputs contribute to changes with either direct or indirect allergens
· Any swab tests conducted?

Job Descriptions & Divisional Duties
· Ensure up to date
· Ensure new data is not “still in head”

Plant & Equipment
· Still alive and well?
· Review trend report

Recall / Withdrawal
· Review any issues relating to product recall or withdrawals
· Review Mock Recall procedures

Employees
· Has there been any misconduct or unfair dismissals?
· Is training up to date or sufficient?

BRC V6 is the standard for the monthly meetings
