Good morning,

This is my first post.  Forgive me if this topic is already started.  Our food ingredient facility is working towards SQF level II certification.  We currently have a visitor sign in log.  The visitors read our visitor policy and sign the log which states by signing this you acknowledge reading, comprehending and will adhere to our visitor policy.

My question is for our LTL deliveries.  Should we have a separate Delivery Drivers sign in log?  They do not leave the dock area but must supervise our unloading their trucks to make sure we do not take anything other than our order.  With Food Defense, we allow them access to the dock only and they are to be supervised by our Receivers.

Really appreciate the information being shared on the IFSQN.  Thank you ahead of time for some guidance.

I don't see why you would need a separate visitor sign in log unless your sign in log doesn't explain your GMP's which should be explained in your visitor policy. You're doing the correct thing by having them supervised, but you must prove that they understand your GMP Policy.

The requirements for visitors, since they might be walking through the plant, is stricter than the requirements for delivery people.  The delivery people don't need to sign the visitors log sheet.  However, if their name is not on the bill of lading, it might be a good idea to have them sign a delivery log.

I agree with RG3 that as long as you list all the visitor expectations for the drivers in what they are currently signing then you should be good.  At our facility we do have separate visitor’s instructions and a separate log for the drivers but that is because we have different expectations for them than we do for other visitors. We do not allow drivers into our facilities but I can see why you do.

You most likely already have these items listed below in your policy but we did not during our first audit; we were doing them, but we did not have them in writing:

  • All incoming and outgoing trailers with loads are to remain sealed until a company representative unseals the trailer.
  • Instructions of where the visitors are allowed.  For example from what you described above:  The LTL drivers are only allowed on the dock area when escorted by a company representative and are not allowed in any other area of the facility.
  • Not Required but a good policy to have is: Once your trailer has been unloaded you are required to leave the property.

GOOD LUCK ON YOUR 1st SQF CERTIFICATION!

Thank you so much for all of your replies.  Very helpful!  And having such a supportive place to go to for all really adds such value to my day!
