How to Prepare for an Unannounced Food Safety Audit

Taking place:

Friday, April 28, 2017 - 03:00 PM - 04:00 PM UK Time

This is a 10.00 AM Eastern US Start

Presenter:

Mr. Len Steed, Food Safety Professional, AIB International

Webinar Overview:

Industry and trade associations have been buzzing for months about how FDA and state food regulatory agencies will implement FSMA’s rules, particularly with the new Good Manufacturing Practices (GMPs) and Preventive Controls rules effective in September of 2016. Some inspection activities may be truly different, but preventing and limiting the effects of foodborne disease will not change. During this webinar learn how to react and meet expectations for all of the rules and regulations for your facility.

thies : GFSI FSSC 4.0 unanounced is 1 in 3 visits from 1 Jan 2018 and truly unannounced, the auditor have to be on the floor within 30 min. You have to notify "holdiays" in advance.
Simone : LEN, you have a slight problem with the mic.
Stuart : Simone - I have audio just fine
Simon Timperley : video and slides are distributed later
Simone : Stuart - the audio is good, but it sound a bit "metal"
BENEDICT : Can we be able to get the slides
Zoë Nugent : Incentives are KPI based
Christi : Good Morning from MN
Christina : Our incentives are based on production numbers...I wish it was based on our SQF scores :(
Yusufu : My annual bonus is tied to an excellent rating in our Third Party Audit.
Simone : isn´t  a financial incentive a bit contraproductively according intrinsic motivation?
miranda : we still arent receivinig any audio or video..
Chillida : Hi from Spain
Michele Pietersen : Hello from South Africa
Kim Brown : Hello from Chicago
Simone : Have you any expierience according plant culture vs. HQ culture in international companies?
Loni : with SQF we get two announced and one announced. these are considered 3rd Party Audits right?
Sripriya : HEllo
Jhon : Hello
Yusufu : @Loni. Yes.
Alina : Hi everybodyy
Loni : @ Yusufu, thankyou! I thought so but just wanted to confirm
Sara : Our goal at our facility is to be "Audit" ready at all times, choosing to adhere to good GMP plans during all shifts, each work day.
Chitrangani : Hi Everybody from Canada
Ana : Hi Everybody from Croatia
Christi : That isn't what you asked, our goal is to be audit ready at all times, but we still prepare when we are expecting an audit. It doesn't mean our business as usual isnt audit ready...
diane : Messaging is consistant and repeated, not just before an audit
Martha Fuentes : Good Morning from El Salvador
miraj patel : good morning
Stuart : Our prep is to reassure staff that they what they are doing is correct, they should not stress if an audit is scheduled or unannouced, and answer any questions honestly
Zoë Nugent : It is good practice to work to the culture that every day is an audit day
Christi : We already do that for FDA.
FAYAJ : good evening from India
Simon Timperley : Miraj, please stop typing drivel in the sidebar.
Simone : The question is: What do you do, if you DON`T get the resources?
Simon Timperley : Miraj, please stop typing drivel in the sidebar.
Stuart : Cross training of personnel is our current challenge at smaller organization where we are already wearing "mulitple hats"
Camille : I'm finding that colleagues have great intentions but getting resources and support from senior management is key!
Sara : right now our audits are conducted on the same shift each time, sounds like its time to spread it out.
Parker : really all of those area reasons
Emily : Agreed
Christi : They don't want to take the chance of losing the business if they don't pass and it is mandatory to be certified....
Simone : I´d vote for NOTHING.
Christina : I can't select all of the options?
Declan Blanchfield : could select all four optiosn to a degree
Yusufu : Our SQF Scores are very very important.
Ahmad helwa : They are all interconnected !
Sara : we have a reulatory and law enforcement unnanounced plan in place and train on it annually.
Ahmad helwa : With the global direction of lowering the cost would the unanounced audits take place ?
Brian : Just a suggestion - great content, but trying to put it all into 30 minutes makes taking notes VERY difficult
Bruce : Would you consider a 90 day window for an audit as unannounced?
Robert : For GFSI, is it essential to get to unannounced audits
Simone : On the short term, financial benefits motivate, but on the long term??
Michael Nowakowski : Len, do you have an suggestions how to set up a culture ready for unannounced audits ?
Stuart : Wouldn't continuous training and reassurances of good work referencing potential unannouced audits be considered preparing?
Paula : What is the consensus how the actual audit will be announced?  There has to be a form of correspondence for arrival and proper preparation, I am speaking mainly for BRC certification bodies.
Ahmad helwa : With the global direction of lowering the cost would the unanounced audits take place?
Rodica : But, How to prepare and test the procedure of unannounced audit?
Eva : Resources come from Management, If Management is not engaged in a Food Safety culture, you are fighting alone against the wind....
Stuart : Our internal audits are intended to prepare staff for unannounced audits
June Ly : is unannounced audit now required by BRC?
Adrienne : When you say to have internal unnanounced audits, is this for the preparation of when we have the unannounced FSMA or SQF audits
Camille : We just had an unannounced third party audit. How can I assist in getting more buy-in from senior management in terms of resources and support once corrective actions are outlined?
Parker : Camille i would like to know that as well.
thies : Do you think it is frequent enough that GFSI (FSSC/SQF etc) now do unannounced but have it only 1 out of 3 audits?
Calista : What would you recomend to be prepared anytime when you have large overturn of employees at certain times of the year?
Ahmad helwa : With the global direction of lowering the costs would the unanounced audits take place?
Brian : Simon, is there any way to silence miraj patel?  He's incredibly distracting...makes it hard to read the real, relevant questions being posed on the chat.
Michael Nowakowski : Do you believe that LeanSixSigma implementation does provide good tools to become audit ready anytime?
Parker : I agree with Brian
Sara : Thank you Len and Simon!! signing off now, very good training topic, well presented.  Good job!
Simone : I agree with Brian.
Christi : Simone, that's how we do our BRC and the upper Management is the ones doing the self audits.
Zoë Nugent : We have a system of internal factory audits that helps keep us audit ready. Therefore we are always aiming to be audit ready
Jhon : What abou announce audits but without a date?
Jhon : about
Nizar         : Very informative presentation.
Federico : Does this concept of unannounced audits really align companies and seriously care about food safety?
Brenda : Always document your action plans to correct any non-conformances you have in your facility and then it should not be held as a non-conformance on an audit - you have noted the issue and have a plan in place to correct.  Just make sure you have timelines
Brian : Good point, Brenda - that usually works
Simone : @Miraj: You are really getting on my nervs and disturb an excellent webinar!
Adeniyi : Since the principal focus is food safety which all embrace, is it possible to harmonise all these standards: SQF, BRC, GFSI, FSSC, FSMS, IFS, SALSA, HACCP, etc to reduce the confusion around their meanings, differences and academic debates around them and come out with a single document/standard
heather gollan : I agree with Simone
John : miraj patel... SHUT UP
Adeniyi : that is globally accepted
Michael Nowakowski : believe that Miraj is a BOT spaming repeatedly. is it possible to MUTE/dismiss this attendee?
Robert : More and more customers are now going on site and completing site audits. Being prepared for unannounced keeps you ready
g : Miraj could be mentally ill, almost sounds delusional
patricia : patricia
Stuart : Good point Len
ramzy howait : great thanks for both of you simon&Lean
Zoë Nugent : We decided to go unannounced. But our customers are starting to make this a requirement.
Abdelhamid : unannouced audit can also be a source of stress and demotivation. Once I returned from my annual holiday to attend the audit. I was unhappy
Simone : thank you so much for this webinar and the discussion!
edy s koto : in fssc ver 4 2017...when will starting to implement unanunced audit
Robert : Definitely recommend using IFSQN tools for readiness
Iryna Dyachenko : Hello. Could you, please, elaborate a bit on the "ïron clad"root cause investigation?
Brenda : My facility has been BRC unannounced for 3 years now and it keeps you on your game!
Ahmad helwa : With the global direction of lowering the costs in the most of companies would the unanounced audits take place?
lum : Is the unannounced food safety audit only tied down to private standards and regulatory authorities?
diane : Some of our customers require all our plants to be AA, so we cant risk unannounced
Michael Govender : most companies window dress when audits are announced and unannounced audits makes the company follow regulations and standards.. Window dressing is a big issue in industries
g : i think having unnanounced audits are beneficial for it does keep you "audit ready" and then if you have a regulatory audit, you are prepared.
heather gollan : Thank you fir the webinar. Great information.
heather gollan : for*
Alexander Isakov : Thanks, it was interesting
Simone : Please:
Adnan Ahmic : In regards to sanitation of the plan , what are some of the key points auditors look for in regards to sanitation
Simone : What about intercultual audit culture?
Kevin : What about for a small company that has very few people with access to documents that would be requested?
Adeniyi : Since the principal focus is food safety which all embrace, is it possible to harmonise all these standards: SQF, BRC, GFSI, FSSC, FSMS, IFS, SALSA, HACCP, etc to reduce the confusion around their meanings, differences and academic debates around them and come out with a single document/standard
Sripriya : Thank you!
Michael Nowakowski : do you believe that LeanSixSigma principle implementation help to get plants audit ready anytime?
Ruth : Thank you for the wonderful presentation, very informative as my company is going to unannounced BRC next year
Simone : If the HQ has a different culture than the (global) plants- how would you implement a plant-wide culture?
Ella : Hi, I am pretty new to Food Safety, so can you please let me know what is 402(a)3 and 4?
Jon : Can your Supplier Assessment questionairre suffice for Food Fraud mitigation?
Adrienne : Ella I have the same question;
Declan Blanchfield : Is there a difference in site results between announced compared to unannounced audit performance ?
Kim PD : Besides using a poll, any other options/ideas to take to senior management to support unannounced auditing?
Stuart : Kim - Poll Senior Management and publish their answers for the whole organization.  Would that have an affect?
Adnan Ahmic : what does len look for in a master sanitation schedule in auditors perspective .
Ahmad helwa : Where i can get the certificate ? Simone 😀
Oleg : Hello from Ukraine!
Ayo : is the the unannouced audit an internal audit or can be carried out be external auditors unannounced
hoangpham : unannounced audit is sound good but in the event that the senior management just focus on profit, they order their middle manager and workers, staff to forge documents, so how auditor find out and how, I used to work for a seafood do like that?
Beda : how to watch restricted video?
Ana : Thank you for webinar!
Adnan Ahmic : Thank you for your time! Your answers are very appreciated
Nizar         : What about maintenance schedule records how is it important
Nurani Sinaga : Thank you @Simone for the webinar, good information.
Beda : How can I get approve for me to vies video?
Robert : Once again, excellent seminar..thanks to the speaker and thanks to IFSQN for providing these
Stuart : Nizar - Maintenance and Calibration schedule and records have always been an emphaisis when we have been audited
Abdelhamid : I think it would have been a good thing to go through a step of improving the quality culture before arriving at audits not advertised. This through requirements in quality standards
Carmen : Thank you for webinar
Pat : excelent webinar!  Thank You
Carlos : thank you very much
Brian : Thank you, Len!
