I understand what needs to be covered at the quarterly & annual meetings but does anyone have a topic agenda for the monthly ones? I'm guessing it's customer complaints, audits, out of spec results etc but can anyone clarify please?

I generally held a monthly HACCP/Food safety meeting to cover any issues relating to either program (CCP breaches, PRP's) and review non-conformances, corrective actions, sanitation, internal & external audits, consumer complaints, new product development, new maintenance, document control activity along with any other issues relevant "to the good of the order" like legislation updates. A BRC auditor will typically want to see minutes from the meeting as well as evidence of attendance (sign in sheets).

Not sure which Standard you are trying to comply with. What we did for BRC was just to create an agenda format that follows the requirements spelled out in the Standard for Management Review. We meet monthly and cover:
-previous review action plans and timeframes
-results of internal, 2nd party/3rd party audits
-customer complaints
-incidents, corrective actions, out of spec, non conforming products
-HACCP system management and effectiveness
- resource requirements

All our meetings follow the same format. The annual meeting is more involved.

This is the agenda for our Monthly meetings, the quarterly have more emphasis on trending and measuring objectives, and the Annual Management review is more in depth and goes on for hours......

1. Review of action list from previous meeting

2. Customer Complaints

3. Internal Audits

4. Cleaning Audits

5. Non-conforming product

6. HACCP review

7. Maintenance

8. Any other issues

Your guesses are pretty much right on the money. I work in a food processing plant and during our monthly meetings we dicuss; Costomer complaints, Non-Conforming product, Internal & External Audits, Food Defense, Pest Control, Temporary Repairs and we usually review a section of our Quality systems manual and/or a BRC requiment to make sure we are meeting ours and their standards.
