Who needs to be named on the organizational structure chart?

Hi

 

I have been given the task of updating the companies organizational structure chart.

 

This has previously been produced by another colleague (who has now left the company) and includes the name of EVERY person in the company.

 

So as a company with 70 employees, every change in staff requires an updated chart.

 

The chart is done this way "because it is a BRC / Auditor requirement" but I cannot see any reference to this naming people in either issue 4 or 5.

 

Does anyone know if the naming of every person is a BRC/Auditor requirement or is it just the managers / directors name and their deputy that needs to be named.

 

And without wanting to be cheeky if anyone could show me or point me in the direction for an example of best practice organisation chart, I would be extremely grateful

Hi

 

Interpretation Organisational charts and assignment of responsibilities (from BRC Participate)
An organisational chart must be available, clearly indicating reporting lines for all managers on the site and, where applicable, relationships to the company head office roles.
 
as I understand it everyone should know what department they come under
 
Our structure looks like tree
first Managing directors (with names)
then
Managers (Technical, Production. Sales etc.) with names
then team staff
for e.g.
Under Production it will be NPD Assistant , Team leaders (just number how many), production staff (how many)
Under Technical Manager - Technical Supervisor, Coordinator, QA, hygiene team (number)
etc

Hi Robsip,

 

We have the same approach. Top level directors with names, heads of departments with names, the rest just job titles and the number of people (e.g. process worker - 10, logistics - 5). It saves too many changes when people join and leave. The exception is when the position is named in a Quality Manual procedure when name is also supplied so training records can be checked etc.

Every position that I have a job description for is represented on our org chart with the name of the person if their position in the org is related to responsibility for food safety. For example the SQF Practitioner & their alternate are listed by name but order pickers are just under their department head.

Hi,

I have the Organization chart with no names on it. We removed them a few years ago for the same reason, as it was too difficult to update it each time. All Auditors accepted thois, No issues raised.

Depends on the size and complexity of your organization.  

 

Personally I would never include all employees.  I would include [title and name] of all managers and supervisors along with those with direct responsibility for management systems (quality, food safety, environmental, people safety) e.g. management representative and deputy.

And point of note - we're on day 2 of our BRC and got a minor for inaccurate organogram yesterday!

Hi - was the deputy names. Some positions had moved around and we're not necessarily now covering certain positions.

So really our own fault. I think for these will now not name people but use said position(s) to deputise!!

Example: Primary Manager - Stephen Xxxxxx. Deputy - Cutting room Manager/Packing room Manager

Hi there,

 

I also have the Org Chart with no names even for the Managers. 

But the auditor always ask for the name of the Quality System Managers and its deputy,

so i made the appointment letter, one for the Manager, and one for the deputy signed by our GM. 

This is because both me and my deputy have same job position. (QS Executive).

The different of our job scope is that i lead the Food Safety, and she lead the Environmental Mgt System.

And the auditor seems to accept that.
