Internal communication
The Management Representative must make an internal communication plan while determining the appropriate communication method
All departments must carry out a predetermined internal communication plan, if the communication method through the meeting must be accompanied by a participant's attendance list, if the order must be poured into the internal memo format.
If in the implementation there is input or feedback from employees, the Management Representative is responsible for providing responses or answers
If feedback requires a management decision, the Management Representative is responsible for discussing it with top management
If a follow up is needed, the Management Representative with the relevant departments is responsible for making an action plan.
All input in the implementation of internal communication must be reported to management by the Management Representative in a management review meeting
External communication
The Management Representative is responsible for monitoring all information relating to external parties
All information related to what is to be conveyed to external parties must be known by the Management Representative, for example quarterly reporting of B3 waste documents to the government, etc.
For information related to external parties, all must be recorded in the Minutes of External Communication. For information related to environmental management, the security department is responsible for implementing records, while for information relating to customers, the marketing department is responsible for implementing.
All information must be submitted to the Management Representative
Management representatives together with related departments discussed the information available. If the discussion requires a management decision, the Management Representative is responsible for discussing it with top management
If the results of the discussion require corrective action related to information from external parties, the Deputy Management together with the relevant departments is responsible for taking corrective actions
The Management Representative is responsible for responding to any information from external parties through relevant departments, including evidence of the planned improvement and the results
All status information from external parties must be reported to management by the Management Representative at a management review meeting
