Hi everyone, 

 

I would like to ask how your company manages employees' certificated between branches and HQ. 

 

Who is responsible for keeping the original certificate? Are the original copies kept at HQ, or at the respective branch? How do you ensure proper pest control and accessibility when needed and accessibility?

Hi Carine,

 

It is up to your company to decide on the system, if originals are at head office then I would want to keep copies on site unless it was a cloud based system where I could access the training records/certificates etc.

I'm not sure your question is entirely clear

 

Site management is responsible for the site................HQ should ONLY be managing corporate policy and procedure

I'm not clear either. Are you referring to external training certificates? Many nowadays are electronic anyway but for older physical copies I've always kept my own, they're not my employer's. They can have a scan.

Site maintains the originals - main office gets copies for review an reference.

 

As to pest control  - entire "binder" is kept on-site, the weekly PCO handwritten reports are kept on site in the binder and a copy with any corrective actions noted are sent to the main office.

We have a few people that oversee multiple sites.  I have all certificates scanned in a certificates folder I can access from any site.  Originals with individual names are kept by the individual at whatever site they want.  I've never been asked to see the original, the pdf scans have always been accepted.

 

We have 4 sites and I can access the pest control information for all sites via the pest control companies website, all their visits are logged electronically.  They have their certifications and licenses posted that we can pull up for auditors. Physical log books are kept on-site at each location, but the company allows us to report things via QR code directly to their site (anyone can do it without a login as the QR code is linked specifically by site - these are posted in a number of places around the warehouse) which allows us to attach pictures and the PCO is aware before arriving and can prepare as needed.  We also call if we think it requires an immediate visit.

Each of my corporation's 12 sites are independently LLC's and, for legal and audit purposes, are unique businesses all under our corporate management.  Each site's management team is responsible for keeping their training records and any certs of training we pay for, with our corporate QA team having access to everything via a shared server system.
