How Do You Track Completion of Job-Specific In-Person Training?

We use a digital training program for general trainings, and those are easily tracked through the program. 

I am now trying to find an easy way to track when job specific in person trainings are completed. I have training logs, but want a digital record. 

 

How are you tracking job specific, in person trainings?

I don't track ours digitally other than on an EXCEL training matrix. I pack up all training material, sign offs, and a counter sign off by the trainer (process manager, bottling supervisor, logistics manager, etc.) and file it away as proof training was done.

 

Since you already have a digital platform, can you create training packets in that platform with a simple outline of the training, and then have them log in and complete it as verification/tracking?

 

Edit: So, for instance, can you make a new training in that platform, attach any of the documentation they are being trained on (receiver paperwork, release paperwork, etc.) and a brief synopsis of training (Incoming goods, product release, etc.) that is job specific, and then have the trainer listed and digitally sign that the employee is competent to do their job?

Can you set a digital holding slide or even an online digital knowledge check which then serves as your record for the in person training? Have you asked the supplier of it?

For an additional fee for a new module, yes. However, I am looking for a solution without spending money right now.

Could you share how you notate if a specific training is required? 

For example, we have 5 departments. Some trainings are applicable to 1 department, but others are applicable to 2 or 3 departments.

I have it listed in the training itself who (job description or role) must be trained on each packet. Under my 'Receiving training' it lists logistics-all who will receive product.' When I put the pack together for the logistics manager to train his people on, I have a note on the front that he must train 'all who will be receiving product.' I leave it to him to make sure he trains the correct people, that's his job (in this facility, that of course varies).

My job specific training records are kept for compliance to SQF, FDA, NOP, and TrueSource. I have a list of things (receiving, product release, cleaning/sanitation, etc.) that need documented training records broken down by job duty/description. What you need to keep track of will vary depending on why you're tracking it.

 

Once you have the packets put together it's pretty straightforward every year to just pull the packet, look and see if anything was updated, and then use it as a template for the training. My receiving packet consists of an example of correctly filled out records of received goods and some of the associated policy documents on receiving with their responsibilities highlighted in yellow. This is what the logistics manager uses as a sort of template in his training.
