Hi,

Currently I am working towards an SQF Gap Audit and I am trying to finish the little details. I need to put together a Job Description for my General Manager does anyone know of what would be required? Also should I include the HACCP team member?

Also wondering if anyone can clearly explain 2.4.2 of the SQF Guidance Document it states under the Implementation Guidance the following:

"Pre-requiste programs shall be documented and implemented as applicable to the scope of certification. Each applied pre-requiste program must be verified by the SQF Practitioner to ensure that it is achieving its intended purpose. The SQF Practitioner is required to sign off on each pre-requiste program indicating that the verification has been completed"

Wondering is this really as simple as me signing off on just the pre-requiste plan or does it get more involved with signing off on all the programs that are mentioned in the pre-requiste plan?

Also can anyone who has undergone a SQF Gap Audit fill me in on what to expect??

If anyone has any answers it would be greatly appreciated.

Thank you :)

For the pre-reqs, a space along the bottom for signing by the practitioner as they are reviewing/verifying/validating the system.

I am not an Expert but my experience taught me this:

For the first Question,  Have HR Help you with this. Delegate! Your priority job is food safety.  Give to HR the Following for a Section on their the Job Descriptions "Food Safety  Compliance" and list the most obvious responsibilities such as Oversee, Directs, Supports, etc.. For your HACCP Coordinator  the same process.  Note: All your job descriptions must have a Food Safety Section.

In this section  SQF looks for:

1. Who and what are the responsibilities?

2. Who is back up for who? - who continues the Food Safety Programs on their absence.

3. Who is responsible for supporting the SQF continual Improvement.

TI am not an Expert but my experience taught me this:

Gap Analysis is to let you know where you at in your FSMS. They will leave you a list of items to improve or to align your operation with SQF requirements.  This used to be also called the a Document Desk Top Audit prior to the Regular Audit.  A separate service from the SQF Certification Audit.

Careful with this interpretation,  It does not 100% mean that the SQF Practioner has to verify all these programs and sign all verifications.  You must train others and you administer these programs accordingly. You must consider Skills and expertise of certain Individuals to verify certain programs.

I am beginning to follow this process.-  Internal Audit, Corrective Action and Preventive Action, Verification, and Validation.  You get verification as part of one Package.  Consider Others to become SQF Practioners by sending them to training if resources are available. We have 7 Practioners.

I hope this helps.

I am both the SQF Practitioner and the HR person. So I just wrote up the GM Job description and had them double check it.
As for the Pre-requisites, many of ours are check lists, a week in at a time, where they sign off daily as it is checked. I just put a box above the daily sign off where I Initial and date it.
We had a GAP analysis and now I have a consult next week again just to make sure we are where we need to be. But I am still redoing the paperwork. Then hopefully the audit in 3-4 months.
