2.1.3 Food Safety and Quality Manual

Hello,

 

I am looking to revise my Food Safety Manual.  We are going for SQF Level 2 so we don't need quality.  I originally typed the SQF Code and what procedure and documents we use to follow that part of the code.  My manual is 30 pages long and way to hard to manage.  We are having our first SQF audit soon and I want to change it to make it more feasible and since we have mostly Spanish employees I need it in Spanish also.  My question is can I just make out a list of all of our procedures and documents we use and make that my manual or do I have to describe every part of the code and what we do to comply with it?  Any help would be great!  Thank You!

Hi Jportz,

The SQF code edition 7.2 has clear guidelines regarding all policies which should be in place (Edition 8 is coming out soon). Your Company should have a written policy, SOP or program about all the applicable code elements based on your food sector category. With the exception of Management Policy which should be translated in languages best understood by employees and prominently displayed, you don't have to translate the entire manual into spanish!

 

What i found most useful was to structure / align our Food Safety Manual with the SQF code. You can do it in any way as long as you capture all the required information. Please attached file for a screen shot. Remember, "Say what you do, do what you say and prove that it's working & effective".

 

Is this your first SQF audit? The desk audit will be useful in pointing out any non-conformances before the actual facility audit.

My "Manual" is a register of SOP's and I included on each SOP which sections of the code it supports. The collection of SOP's is effectively the manual, along with HACCP plans etc.

This is our first SQF desk Audit.  At first I tried to  type out the SQF Code and tried to describe everything we do for each part but, when I get to module 11 it gets harder to do that.  If I just go through my binders and list every, procedure, work instruction we have will that be sufficient enough?  We have our desk audit on Friday and I am unsure what to do and how to finish it.  The easiest would be to list everything and how we do it but to type out all of the code, will it help if I missed something in our procedures and it is listed in the food safety manual.  I am at 30 pages and almost finished with module 11 but I am 2nd guessing it because it is supposed to be concise.  I'm not sure if I should just go with the list or continue and finish it.  I hope someone can help!

Module 11 doesn't lend itself well since it's mostly based on facility requirements. I place the majority of module 11 in my foreign material prevention controls and facility maintenance program.

 Cover module 2 as a checklist like you're doing, that's really helpful. Then identify areas of module 11 that are POLICY driven, make sure you have a policy written and signed somewhere. Then the facility requirements just blanket under your internal audits and maintenance program.

We have a one page summary of where all the materials that make up the Food Safety and Quality Manual are addressed.  We placed it at the front of a binder that includes copies of all of our programs used to meet SQF.  (I have attached a copy for you to look at.)  We have been through sever SQF Audits, 8 at Level 3, and there has not been an issue with it.  We are keeping our fingers crossed that this will work for edition 8 as well.  The simpler you can keep things, the easier you can make it on yourself in the long run because you have less to worry about updating and changing.

 

NOTE: We were able to rearrange all of our programs when we started SQF so our programs pretty much follow along with the SQF Code.  If your programs do not do so, you might want to list each section of the code on a separate sheet and then list the corresponding program that addresses that section of the code to help you and the auditor to follow along during the audit.  I do not think that you need a summary or explanation, just list the program needed.  With my experiences the auditor will read through the program and/or ask you how that program meets the section of code that is being addressed.
