Supplier Program- Do required documents have to be controlled?

Hello!

 

I am new to my position and I am trying to organize all of our programs and the required documentation that goes along with them. We have a supplier program that requires a list of specific documents from each supplier (LOG, specs, audits, etc). Do these documents need to be controlled with a master document and everything else that comes with that? Also, if this is the case what is the best way to do it?

There are 101 ways of doing it. Yr preference likely  depends on yr resources/situation.

 

Basically you need to implement a Procedure something like the one below but adjusted to be suitable for yourself.

Yes all documents have to be controlled. There is no specific way but as long as you can prove revisions, approved changes, and list of documents. The example on this post is what I have been using from ISO 22000 and it has worked well to pass SQF for you can by these templates in this website or www.bizmanualz.com.

Yes all documents have to be controlled. There is no specific way but as long as you can prove revisions, approved changes, and list of documents. The general topic has been discussed here before. IIRC, result was a lack of consensus. The topic was a favorite never-ending chestnut of the old iso9001 days.

 

i predict you will find an absolute, validatable, answer to yr question elusive.

 

IMEX the mandated requirements of a Documentation Control System are typically something like the DCS must (a) "satisfactorily" ensure that the correct / approved / most recent version of a (needed) document is available to the appropriate personnel and (b) it ensures compliance with any specific clauses in a relevant Standard. This usually leaves plenty of room for interpretation.

 

One simple (too simple?) option for documents in a QMS system is to make them all controlled. That's what i do. It clearly demands a reliably organized, validatable,  distribution system also.

I would have a supplier assurance file which would have your own controlled documents with supplier information but would also file relevant external information provided from the supplier. I would sign and date the external documents and maintain a register of the documents held.

I don't see any mention of what FS standard yr query refers to, if any ? if the latter, i would say you may make yr own Policy although at least 2/3 of the Big Boys seem to go for controlled.

 

Quoting iso22000 standard -

 

4.2.2

 

Documents required by the food safety management system shall be controlled

 

A documented procedure shall be established to define the controls needed

a) ---

b) ---
------
------

f) to ensure that relevant documents of external origin are identified and their distribution controlled,

 

 

I think it is is reasonable to assume that the documents referred to in the OP are "relevant".
