Documents Required Before Desk Audit - Clarification

Hello everyone.

 

I have a couple questions about what is required before your desk audit. I am pretty much caught up but there are a couple sections I have yet to "complete."

 

1. Is it required by SQF to have your mock recall exercise completed before the desk audit or is it required before your site audit?

Also, can someone tell me if this Mock Recall Effectiveness equation is correct?

 

(Product Regained/Product Produced ) x 100

 

2. For the environmental monitoring program, I have the program written up but I have not sent anything for testing just yet. Are analysis results required before your desk audit?

1) No, the recall exercise completed is not required for the desk audit, it is for the site audit or stage 2 audit.

the formula seems ok. 

2)No, but you need the lab test done for the site audit.

1) Mock recall exercise is carried out with the auditor during the site audit. They will randomly choose any product and have you trace it to test your traceability program.

2) You can at least send the tests even if you have no results yet. Show the auditor that you sent them and it's pending. it happened to me once and they accepted it. (site audit).

Do not confuse Recall with Traceability, even when both have to be tested annually, only a trace exercise is conducted during the SQF site audit.

So to be in compliance with the SQF requirements you have to have your recall and trace procedure (that are reviewed during the desk audit) and have done a mock recall to be in compliance with SQF clause 2.6.3.3:

"2.6.3.3 The product withdrawal and recall system shall be reviewed, tested and verified as effective at least annually. Testing shall include incoming materials (one back) and finished product (one up)."

 

So the Recall procedure is reviewed during the Desk audit and then usually during the site audit the auditor will review the last mock recall and last trace exercise AND do one of the product he choose.

If you tested your recall procedure in the months before your audit, it is done then but if it is scheduled (annually) the month after your audit, they will look at last year's audit. It all depends on when you test the procedure.

Mark - do you own mock recall before your desk audit regardless of whether the Auditor may or may not ask you to do one during the on-site certification audit and get your environmental program buttoned up too prior to desk audit.
