Need help with non-conformance in our traceability

Good day all

 

We recently had an audit .Amongst the major findings we had a Non-Conformance in our traceability  system.They deemed it non functional.

We are a food distribution warehouse company  where we reprocess cold meat (cutting into into smaller section as per order ) and cheese(cutting into into smaller section as per order) and fish(descaling and filleting ).Besides these processes we also do the distribution of a vast number of frozen,chilled and dry goods.

 

So I have a challenge on the the production records we might be able to use.We have the receiving of goods checklist ,picking slip and the dispatch  checklist.On the dispatch we have a lot of different  products that we send to customers so the the loading supervisor  said they were unable to fill in all  the  details that is needed  on the  sheet .

We are trying to implement a traceability system so I am looking for ideas on how we might be able to implement a  functional  traceability system on such a complex  processes

Such a complex process.... You're cutting stuff.  The stuff you bring in and send out without processing should be easy but the cutting stuff just needs records on which batches with quantity you are cutting up and then what batches are created with quantity.  Or am I misunderstanding?

Sorry I'm being a bit sarcastic.  Bad habit.  So I don't think your process is complex at all.

 

Put a piece of paperwork in.  Date it, ensure you record who is recording it.  Then put a table in, with headers something like this:

 

Material / ingredient code     Quantity     Batch number     Finished product quantity       Finished product date code         Finished product batch code          Waste quantity    Signed

 

 

Or something similar.  What the traceability is trying to do is link the incoming batch (and quantity) with the outgoing batch (and quantity) so if you had a problem with the incoming material, you can work out which finished product batch code(s) related to.
