Has anyone got experience using Microsoft Teams for Document Management System?

Hello, 

 

We are currently looking into the next steps for the Document Mangement System. 

One of the options is Microsoft Office Teams.  

 

MS teams is already used for communication / meetings etc. However the possibility in sharing, approving and communication of procedures is now in the picture. Wondering if anyone has experience in the use of teams for Quality Management.

All input, do's and dont's are welcome

Microsoft Sharepoint may be more helpful in terms of document management and approval, but it directly integrates with Teams so can be used in conjunction.

MS Teams will not work very well.  The integration it has with Word and Excel really isn't that great.  We use it for our COVID task force and the documents are an absolute mess.  **Caveat...as it is used more and more with a larger amount of companies and people the integration may get better, but it will never be to the level of sharepoint.

 

As MsMars suggested go with sharepoint, you will be much better off.

Really not sure.  Usually it will come with an Office 365 subscription.  It is more expensive than the standard Office 365.  It is well worth the expense if people know how to use it well.  If people don't understand using it though it might just be easier to use MS Excel and a share network folder.

I second the suggestion to use Sharepoint or have IT set up a shared file on a company server and give access to individuals who need it.

  If you do not have Sharepoint or means for a shared file on a company server then you can open files shared in Teams in Word or Excel or PowerPoint.  Place your cursor on the three little dots ". . ." that are to the right of the file and choose the second option that will either say "open in Word (or whatever program it was created in)" or if you have the newer version of Teams it will say "open in App".  It will then tell you to only open file if it is from a trusted source so you approve and then it may ask you to sign in.  Once you get through that the file should be opened in regular Word or Excel and is a lot easier to work with.

What do you mean by "live documents"?  Do you mean records?

 

At any rate Sharepoint can provide exclusivity and rights specific to who can view versus edit any document.  Usually, this is done through the administrator for the specific Sharepoint site which can be set to anyone.  So, if this is SQF related the SQF Practitioner can be the "administrator" and can provide rights to specific persons, or groups of people.
