Pre-Dispatch Inspection
I am in the dairy industry and are in the infant stages of setting a QMS system. I have never been involved in a Pre-Dispatch Inspection befioore but as part of having controls on what goes out into the market, we would like to set upo a system of inspecting poroducts to elimintae defectives from the dispatch section as well as reduce losses to the organization.
Can anyone with such an experience help out especially on product traceability and documentations?

I am sure that you must be having a Quality Control & lab testing system in your company. So, link the Final Inspection Report (FIR) given by your QC - which will be generated after complete testing of the products (online & complete chemical and microbiological testing) with Pre dispatch inspection. Apart from QC report, you can develop a team from Warehouse who is responsible of regular physical visual inspection of products while receiving from production and also during the dispatch process. This is to avoid any warehouse damage during the storing process. Maintain proper dispatch records with clear details of the product traceability linked with FIR - which will be useful incase if you want to do any product recall.

This would depend on which dairy products you are manufacturing. Please let us know and maybe we can help some more.
For traceability, as a minimum, you will need to record product, label, code, date of dispatch, volume, customer and delivery address.

1. Cold storage/ Finisihed good Sampling- (Approval by QA)
2. Cleanliness of the vehicle ( dispatch supervisor,QA, Driver)
3. Refrigeration system of the vehicle-Temperature checks( Driver, QA)
4. Refrigeration unit leakages/ chemical contaminations( Driver- Daily vehcile checks, Dispatch supervisor)
5. Personal hygiene of drivers, sales rep-( Dispatch Supervisor)
6. Leakage Checks inside during loading( Drivers, QA, dispatch supervisor)
7. Cross counting- (Dispatch supervisor/Security)
8. Sampling -from Vehcile ( QA)
9. Daily vehicle inspection-Maintenance- Preventive maintenance/Break down management- Drivers/dispatch supervisor
10. FEFO- Dispatch Supervisor/QA
................more and more depends on product, org capability and resoruces...
for traceability, there will be a product code/batch codes...just record it by QA/Dispatch supervisor
