Can anyone check my glass and brittle plastic control policy

Could anyone check wording and grammar for me? as my English is not very good,esp writing terminology!

Any comment to add in that would be very welcome!

Glass and Brittle Plastic Control Policy

XXX Co., Ltd. Chicken Frozen Product Manufacturer acknowledges of fully responsibilitiesto customers in producing high quality products. Including Contamination control,particularly Glass or Brittle Plastic material that could break into foods and willreach to consumers. We acknowledge in this concern and determining to controland prevent harmful that may cause.

1. Companyprovides production layout and registers materials/tools which contain glass,brittle plastic, ceramic or other breakable material, including light bulbs/ insectocutor/machinecontroller cover/gauge meter/transparent plastic or emergency light must haveproper cover or plastic film cover

2. Company has regular monitoring/checking on materialcontrol list, particularly glass, brittle plastic, ceramic or other breakablematerial including light bulb/ insectocutor/machine controller cover/gaugemeter/transparent plastic or emergency light.

3. There is no bringing or taking glass, brittleplastic, ceramic or other breakable material into production area before givingpermission. In case necessarily bring to production area for install orre-install must be given permission from Quality Control Department, checkingand recording in tools/equipment in-out production area.

4. Company’s designated Technical and QualitySystem/Factory Department/Engineering Department monitor and control harmfulcontaminant from breakable material to Product.

Welcome to the forum !

The basic intentions of yr policy come over OK, IMO (except perhaps for item 4) but the grammatical accuracy is rather variable.

The problem about making detailed corrections is that it involve subjective re-arranging in some places and the result may not properly correspond to yr intended meaning.

I hv attached a quick rewrite below (tried to retain the original text as far as possible) but please stay with yr original if you don't like the result anywhere.

I would agree with the changes suggested by Charles and in addition it would be good to add or reference a clean up policy/procedure to deal with any breakages that may occur.
Thank you very much! Actually I'm new for Food Industry(only work here for 2 months)! and never worked in Quality System before ( was in Automotive industry we use ISO/TS16949), so it's quite different!


I appreciate your suggestion. And also agree about I forgot to mention procedure when glass/plastic breaking situation happen!



in item 4, it means who is responsible.... let say Engineering dept. might have to fix something or change something, so they need to tell QC Dept. and factory dept. about what are they gonna do? and what tools/equipment they gonna bring in to production area.... and ask for permission... and these three dept will monitor and check foreign body contaminate !?!

So what do you think? Do you think it'd better to take it out and substitute with glass/brittle plastic control procedure instead!?!

Try this one. I assume you do (or will eventually) hv a separate "Procedure" to handle any related incidents as per tsmith's comment. (This is the classic ISO 9001-type presentation of course.)

The detailed contents of paragraphs within such Policy documents may obviously depend on the intended usage of the document, eg submission for any specific text standard. I'm no expert but IMEX, it usually helps to start sentences with positive statements/actions, not use overlong statements (not always so easy) or include claims which can readily be shown as not true.

After I study through my organization, We don't have policy but we have procedure and documents to cover all GMP, BRC, HACCP etc...regulation....
So is that ok? Coz we have proper procedure which comply with GMP standard!

Please educate me!
As Client will come and audit next week!! and it's my first audit!!

After I discussed with Tech/Quality System Manager, she suggested me not too much specific detail into policy! Which this policy will cause us a problem in future!! as we had procedure which is ok! but not cover/miss something!!


Anyway I did change a little from you, and would you mind to check for me again please? Only suggestion it's ok but correct my grammar and add something that I haven't considered would be lovely! Thank you very much. So far I DO appreciate your helpfulness. Thank again

Yr TQSM now seems to be seeking a detailed hygiene-type requirements list.
I suggest you do a search on this forum if you are interested, there are a number of similar items here. (the sub-numbering system in yr document seems to be non-functional or maybe it's my reader?)

I would actually have it as you Glass, Hard plastic & Ceramic policy.

I would add that the monitoring frequency is based upon a Food Safety Risk Assessment (Example where glass direct above food / equipment is assessed daily, safety guards on conveyors (if food is closed) weekly and environment (towel holders, soap dispensers) monthly)

I agree with the lads and would have as item 5

5. the company has a documented glass breakage procedure, which is based upon risk assessment.
And then write a Work Instruction to cover this.

I think, I'm done! It's not a perfect one! still need revise,(when auditor find out 555)
coz we create policy behind procedure that's problem coz if our policy is good but procedure doesn't comply with the policy, we will have a problem!
