Great integrated training record management

I can't be the only person with this problem.

 

We have a training system which is excessively paper based.  We sign people off against everything from power point presentations, tests, documents etc.  Some of it is only reading, some requires some kind of competency assessment etc but you know the deal.  The Auditor asks for a training file and you're sweating thinking "is everything up to date?"

 

I've used QPulse many years back but their training module wasn't as fully integrated as I'd like.

 

What I want is a fully integrated training package which will do all this for the team.  So will record the training records electronically, can have some forms of competency assessments built in, send out reminders when training or reassessment is due.  Automatically set up for retraining when a standard changes.  Have some elearning built in and come out with a matrix so I can see at a glance who is and isn't trained.

 

Does it exist?  Is there anyone out there making something like this?

I have mine set up in a spreadsheet. 2 pages - 1 alphabetical with columns for when and what the training was, and 1 - that is done by month. Mostly I train and re-train in groups. The new people as they come in, then yearly with the other training. I hang the calendar one by my monitor, just so I keep track.
Our chemical company comes and does that training and they keep track and let me know when it's time.

I use an this Excel template.  Like the Lisa S., I also train in groups with monthly topics.  This template is easily searchable/sortable when you need to find who has been trained on which topics.  

I briefly flirted with the idea of using Alchemy systems, but management decided it would be too expensive to implement at our plant at this time. :-(

Alchemy's system seemed cool, though--came with a lot of presentation/trainings you could customize and a program that tracks each employee's training. 

 

So...in the mean time, I have a master list of training that all employees must receive, and I break it out into an outlook calendar for reminders to schedule training (ex: the first of the month I receive the reminder to schedule GMP training in the next 2 weeks). And like Lisa and Imarsh, I use an excel sheet to keep track, although it's not nearly as nice.

And then I have all the paperwork--sign-off sheets, completed quizzes, and score registers that are kept in a file cabinet and labeled meticulously. Also, copies are made and put into each person's employee file (total overkill, IMO, but management gets what it wants). I keep a printed copy of the powerpoint presentation in my files as well, as a quick reference for what we discussed during training.

 

If you find a good program to replace all this ridiculous paper, please share! I'd love to eliminate some of this paper, too!

This is bonkers!  An excel spread sheet doesn't cover off the compliance requirements and it's not a program designed for the job!  Perhaps I need to go into business!!!

If you find anything good please post it I am also stuck in the excel trap of conditional formatting and manual paper records there has to be something better out there!!

Alchemy.  Someone mentioned it.  Very good system, but $$$$$$

I have audited training records for a large nationwide company; it's not a food business, but provides services to the food industry.  The training materials, training delivery, sign offs, assessments were all built into a system based on google-for-business apps.  Each service technician uses their smartphone to access training presentations, acknowledge their understanding and submit answers to assessments.  The training manager sets the training requirements and the deadlines.  He can see every person's progress in real time on the cloud and the need to manually update records is a thing of the past. 

 

It's a large company and their software is branded with their company name so I assume their system had been customised which would have some costs of course.  However I would be surprised if there are not cost effective generic Google-for-business apps with similar capabilities.  My children's school also uses Google apps to manage their systems so I guess it is becoming more common.   It might be worth a try.

It's cheap, easy to use and results can be exported to Excel if you wish.

Depends on a lot of variables, but a standard user license for roughly 300 people is about 13k a year.

We've started using Alchemy in the last 6 months or so...........what I like best is the flexibility, group training session, individual training at a kiosk, and e-learning on any desktop showing all the same content

 

Able to build in question slides, set the pass/fail rate, push out email notifications when training has been issued or completed and easy to export training records

 

Not sure what we've paid, but well worth whatever the cost was

 

Oh, and you can also build custom evaluations, so you can take alchemy on the floor via a tablet and perform real time evaluations that can be exported as well
