BRCGS 3.6.1 Reason for Rejection-Acceptance of Raw Materials
Hi,
Reviewing our 3.6.1 non conformance report form and there is a section of Reason for Rejection/Acceptance of Raw Materials (complete as appropriate).
Am I right in thinking even though the raw material is not conforming, this area is the space where we explain WHY we continue to use it if required?
e.g. "colour of paper supplied for packaging is not the correct colour, however due to customer needs, they are willing to accept this only for this making"
There has never been this section on other NCR forms, so I'm trying to grasp it's relevance and if it something unique to BRC.

I don't think color is a deviation if it is a customer demand. You do have to seek a formal agreement with your customer however.
As long as the packaging is not affecting product safety or quality, you don't need to explain WHY.
Non-conformity product = out-of-specs
Defective product = unusable
For example, your paper looks more yellow than requirement but the print remains legilable; it means the paper is a non-conformity but not a defect.
Compromise or "use as is" could be a treatment for NC materials.

Create concession log and procedure, this will support your raised NC`s, traceability and this will help to avoid questions from BRC auditor
Your concession log should contain the following details :
- Packaging code / raw material code
- Packaging / raw material location
- Where it is going to be used
- Date of concession request: allows to monitor and trend numbers of concessions per any given period of time;
- Reason for concession
- Approval conditions / rejection
- Approval deadline
- Additional comments
you procedure should consider :
- Responsibility (staff with authority to grand concession)
- Examples of concession (for certain things like best before, different colour packaging etc - supplier or customer can be approached to approve concession, raw material samples can be tested by lab, or organoleptically checked by tech team)
