Do Record Corrections Need Written Justification? (BRC 3.3.1)
BRC Issue 9, section 3.3.1 indicates ".....Any alterations to records shall be authorized and 'justification' for the alteration shall be recorded." My company handles record alterations by neatly crossing through the mistake (single line) and initialing same. Issue 9 Interpretation Guideline book indicates ".....neatly cross through the inaccurate information, noting the reason for the error and giving the initials for the person making the change." There isn't a lot of room on our records for recording reasons for mistakes. Is giving the reason for the error common practice and required by auditors? If so, does anyone have a list of shorthand reasons they can share?
I'm not much with BRC knowledge, but as a standard practice in all the plants I've worked we do require them to describe and initial the cross out. If there's no room in a margin on the front of the document, no one has given me any grief over the author flipping the form over and writing on the blank backside.
I do my best to incorporate space for comments into form design, but failing that writing on the back, or after the form has left the production area just attaching a separate corrective action sheet.
