Hello Carine.

I hope this helps.

Dear Roberto,

Thanks for sharing this document with us.

However I would not accept this as a mock recall report for BRC/IFS/Dutch HACCP.
What I would like to see in a mock recall report are all the steps of the recall procedure. Including the timings per activity and results in attached documents.
Examples of what to be included in the mock recall file/report:
- time of reporting incident;
- decision to call recall team together by who and which time;
- time of first meeting recall team, what was discussed, which actions were agreed;
- traceability report; at which time was the data available. Traceability should contain mass balance and list of customers.
If you have chosen a hazard/risk that could have occurred in your factory, you also should include all the relevant monitoring reports and check if other products that were produced at the same time, could have been affected. If needed do a traceability on those products too.
- decision to do a recall or not taken by who at what time.
- check contact list of involved customers and suppliers, authorities and media;
- who will sent which information to who (customers, authorities, suppliers). in real practice, it is a common made mistake that all salesmen start to call their customers, before a proper statement is established.
-evaluation of the mock recall including corrective actions (if needed)

Carine, I hope this information helps you to establish a mock recall report.
I will be happy to review your report, if you like.

Please let the forum members know, if you need a nice mock recall case. I know QA-people can be very creative in making cases for mock recalls.

Hello Carine,

I think this is a good form; it is customized for your type of operation and needs.
Somesuggestions:

· Be sure that total units produced equalsinventory + sales. I quickly added the quantity produced, balance stock inlorry and qty to be recalled and could not match it. It may be I’m not doing itright, but you still can make it more clear, sometime like:

Size A
Total Qty Produced (affected) 2000

Stock (Cold room) 200

Stock (Lorry) 1200

Balance To Account for (Shipped) 600

Customer 1 300
Customer 2 100
Customer 3 200

Total Recalled 600

Product non accounted for: 0

· Also, you should list the customers who gotaffected product delivered.

· You should list the product that was notaccounted for, most of the times everything should match between your stock andsells, but sometime it doesn’t. In your case for instance, some bags could havemelted and being disposed, etc. Either case, you should list if there is anyamount not accounted for.

· You should clearly mark this as a “MOCK RECALL“,use a water mark stamp of put it very clear on the title!

Finally, In general, when food safety inspection companies lookfor a “Mock Recall” they generally mean the ability of trace the product back tothe source and then and forward to the customers. I do not have experience withBRC/IFS/Dutch HACCP, but I know SQF accepts the type of forms that you havemade as sufficient for a “Mock Recall”.

Nevertheless, an actual RECALL involves much more than atrace-back exercise, and some companies may go further steps to do a completemock recall scenario, similar to what Madam A. D-Tor suggested.

I never had to do this for a SQF inspection, but we havemade it just as learning experience and preparation. Thiswill imply having all your recall team to work on a made-up issue, trace back, communicatewith customers, communications with regulatory entities, lawyers and media (whodies that and how), keeping records of all activities. Is not as easy as itlooks, and to be a productive exercise more likely you would need expert helpto create and scenario and guide you thru the obstacles.

In USA there is an organization that provides what they call“crisis training”, this may not be helpful for you but may give you an idea of whatI’m talking about:

If you think this may add value for you, see what resourcesare available in your country.

Hello Carine,

I've attached a PDF of a product recall record/report that would comply with the global food standards. I hope you find it helpful...

Good day.

I would like to ask, if we do mock recall do we have to fill up all the recall forms or just the mock recall forms?

Dear George,

It's truly an impressive document however I could not see any target or specific result regarding the time required for "reconciliation" between the produced quantity deduced to be at risk and the conclusion that 4 units were (acceptably?) unaccountable.

I appreciate some time-based deductions can be made from the data but I thought this specific parameter is usually a primary criterion for assessing the effectiveness of the recall. Maybe I missed it in which case apologies in advance.

Rgds / Charles

@loaf, the idea of a mock recall is to act as though it's a real recall and fill up the forms accordingly. However IMEX some companies do not actually activate some of the steps described in above mentioned example for fear of misunderstanding / confusion, eg activities such as the last-mentioned one in the log report. Perhaps it depends on yr specific situation.

Dear BAM,

Pls clarify what you interpret as "ordinary" ? Based on the examples shown in this thread and others, it can depend on yr location, standard's requirements / customer, etc.

Thanks for all the people who contributed to this. Some looks complicated, some looks very simple. Maybe it really depends on nature of business. I'll devise one for my company and will gladly share it to you when done. :)

Indeed you're right. I think it depends on the nature of business, operational capacity etc. Does anyone have a mock recall plan that is more suited to food catering?

Thank you friends
