Does anybody have a system for the control of external documents? Anybody willing to share?

Apart from supplier information , I do not mind sending out any internal document out in pdf

I put a watermark across them saying "uncontrolled if not signed" as all of our documents have a live signature across the bottom

Safety/Non-safety related ?

 

To be audited by X ?

 

For My Eyes Only ?

 

The point is that the necessary control varies. eg Step 1 = self-classification system. Step 2 = acquire a file cabinet with independently lockable drawers / keys.

Our system of controlling external documents is based on the guidelines from the ISO 9001 and 22000

 

1- All external documents are listed down (Separate master list) and properly identified (unique number / title). Copies are stamped as "External Documents" with date of distribution.

 

2- Preferably each external document have a date or issue or any reference so that whenever an update is received it will be handled properly.

 

3- Controlled distribution (record is there how many copies are distributed to whom)

 

4- We have categorized our all external documents as per their type. Documents related to Raw Material, related to End product, related to food chemicals etc.
