Protocol for Document Review

Dear All,
In doing an annual review of all our documents (SOPs), eventually the reviewed date will change on all the SOPs. However do I need to change reviewed date for the records attached to the SOP although no changes have been made on the records. Is it OK as per ISO 22000 requirement to be using an SOP dated 2018 with an attached record dated 2017

If I understand you correctly, a document is a policy, procedure or a form that is not filled out.

A record is a document or form that has data filled out on the document or form.

Thus, a record filled out in 2017 is perfectly fine, because the document was filled out then. (Even though the current document may be dated later).

 

There should be no changes to the "records" after they are filled out, because that would be considered falsification of those records.

Not exactly please.In our FSMS manual we attach records to their respective SOPs and we review the SOPs yearly or as per any change in the process.

In a situation where a blank record(a form or checklist showing an activity has been done) has a review date for last year but the document or SOP(stating how that activity is performed) was reviewed this year although the record was not reviewed.

 

The review,revision or issue date for the document or SOP will change but do I have to change the date also for the record although no changes have been made to it

I fear yr query is related to the infinitely long discussion involving the topic of designating/using Forms vs Records vs Documents, etc.

 

Personally, i would designate a, so-called, Blank Record "Template" as a Form. I suppose this approach is aligned to Post 2.

 

Generically from a haccp POV i daresay you can use any updating system you like as long as it's clearly defined but, in case of ISO22000, the 2005 version included "Normative references" which (probably) answered yr (updating) query. Latest version of iso22000 has instead provided a link to iso terminological databases. Maybe have a look through these links.

 

Offhand, I anticipate that any arbitrary changes to an existing evidential document is atypical, so I would suggest to be well-prepared to defend such an approach when audited. But maybe ISO will prove me wrong. :smile:
