How to make a Quality Manual?
Hi! I'm new here and I need help on making a Quality Manual for my current company. It's actually my first time to create one since i'm a fresh graduate. My company is a small type business that distributes black pepper, msg, salt, flour and etc. And since they are used to sell like how you sell at a market, they don't really have documents like sop's. So it's hard for me to start. Can you please share me some infos how to do a quality manual, or share me a sample of quality manual and SOP's. Please. Thanks in advance :)

Terminology usually relates to a specific Standard, eg -

I don't have a separate document "Quality Manual" as I think it's redundant. Instead, I've grouped in one binder all FSMS-related documents (e.g. food safety policy, food safety team, food safety team leader, meetings, organization structure, job descriptions, internal audits, KPIs, etc.) Through all these years being FSSC certified (10 years, actually) I've never been asked by the auditors to have a separate quality manual.

Hi Olena,
Afaik, the concept/terminology was introduced with the iso9000 series and became simultaneously popular within the Motor industry for their own Standards.
The Manual (typically) contains a reverse-egineered version of the related Standard including a summary of the Policies / Procedures to be developed/implemented to support the FSMS system, The advantage of the Manual for Companies was/is that the former could be freely distributed for (Quality) promotional purposes without giving away confidential information.
It's actually a quite common document, eg for BRC, iso22000, although, as you imply, I think there is no specific requirement in the Standard.
Hello,
I have FSQM and it's my baby and my bible. (i do believe it's a bit redundant and would like to have everything digitally but not quite there in terms of it working for auditors)
We work to BRC and so the manual is based off this.
Break it down into sections - e.g.
Section 1 = Senior Management Commitment
I have one document for this which answers every clause in the section for senior management commitment, this will be two columns, down one side the clause number, down the other, the answer to what the clause is asking, referring to any policies / procedures / documents. I then have the referred to docs behind the document answering the clauses.
Section 2 = The Food Safety Plan - HACCP
Again the same thing - answer every clause in a table format, and any referred to document behind.
Section 3 = and so on
This works really well for me personally.
When i've done all that - i collate a contents page listing what procedure / policy / document is in what section and place this at the front for ease of finding.
I have answered every clause just so that if i'm in audit and asked a question and my mind goes blank - i have it right there in front of me with the relevant documentation.
hope this helps
Hi @FoodSafetyAPP,
Found your comment very helpful.
Could you possibly share some of the documents for reference.
Thanks :)

Please see attached.
I hope this makes sense.
Controlled Documents Master List - this lists every document that is in use
Change Note Log - any time a document is amended it is recorded on here (this is a requirement)
Index - this is effectively the contents page for the FSQM, so what doc is relevant to what section (this isn't necessary but helps me find docs quicker)
Section 1.1 - this just answers each clause in section 1.1, i have the same for 1.2, section 2, section 3 and so on
behind section 1.1 i will have every document that is referred to in section 1.2, then i'll have the 1.2 breakdown, with every document referenced in 1.2 behind this page.
