BRCGS9 documents control

Excuse me, can I ask this question? Do I have to print out and change the date of issue all documents according to the BRCGS9 standard? Or only documents with additional new points must be changed, remaining the same?

I'm not sure if I understand your question correctly, but if you're making any changes to a document, you need to change the version number and issue date, and obsolete the previous version and discard any hard copies. If you're only reviewing the document and make no change, then the version number stays the same, and the review is documented and dated.

You only need to print out documents when you change them.

 

From BRCGS Global Standard for Food Safety Issue 9 Guidance:

 

Making changes to your documents

When a document is changed, you will need to make a note of the change and the reason for it. You can do this by:

• keeping a copy of the previous version with the reason for the change written on it, or

• keeping a ‘history of amendments’ log within each document;

A new issue or revision always replaces an existing document. You must not have two different issues or revisions of the same document at any time.

 

Replacing your documents

You will need to keep a record of all controlled documents and their allocation. This will mean that whenever a document is updated or replaced, the person responsible can ensure each old copy is returned when the new version is issued. The easiest way to do this is by using a sign-off sheet where staff sign to indicate that they have returned the previous version and collected the new one.

You do not need to print documents at all. You can do all digitally if you prefer:

- maintain documents of the quality and food safety manual;

- document version control;

- changing in documents;

- changing in versions;

- maintaining list/overview of versions;

- maintaining list/overview of changes in documents.

 

If you prefer printed documents, ofcourse you can print them, but from the standard this is not needed.

There are also IT examples of iso9001-compliant documentation systems where "minute" changes such as for correction of typos is stated as not necessitating a change in revision number.

If your document changes, you need to update the version number and issue date.

 

If your document remains the same, you need to record the review somewhere.
