How is your system set up digital or manual?
Good morning everyone,
I am an SQF practitioner for almost 2 years now. When I was given this position everything was already set up I just had to maintain it. We currently do our audits in pen and paper. When an auditor comes in we have a binder on our policies, binders on procedures, and our forms. With SQF Edition 10 coming up, I was wondering how your systems are set up to be easier to handle and friendlier digital. If you have any examples you wouldn't sharing I would greatly appreciate it.
Thank you.
My entire system is digital other than hard copy sign offs, which will hopefully be digital some day, but there's just no way at the moment without making things extremely expensive and a pita.....
But when I sit down with the auditor, 95% of what we look at is projected on the screen from my laptop...
We have everything digital and scan (in color - we do not allow any black ink in our facilities) any records and logs. We keep the paper copies for a year, but we pull up the scanned copies for the auditor to review (with the paper copies ready in case they want to look at them specifically).
Anything that needs to be signed, we have the Word doc (only a few can edit) and a PDF with the signatures.
We also have a binder of SOP's that we keep in the breakroom for employees. I pull that in just in case an auditor prefers to look at things printed on paper, or if I'm not in the room. Others have an easier time finding what they want in the binder since everything is saved by the SQF code and I'm the only one with all of them memorized.
