Supporting documents to show the removal of a product from the inventory?

Hello All, 

 

I had a query if any of you could please help with this? 

 

What supporting documents can be used to show the removal of a product from the inventory? 

 

 

We gave away few bottles of a juice since they were not complaint with the recipe. How do we prove to our certification body that It was given away to employees ? Which documentation could be a supporting document to this statement?

 

 

 

 

 

Please throw some light. Thank you in advance!

"A few bottles"? Because it's a recipe issue can I assume this affects the entire batch? I would recommend the following paper trail:

 

- Batch record showing the batch of juice is rejected due to failure to meet quality specs

- Product is placed on hold

- Record of hold investigation proves that the product is safe to consume, only issue is recipe non-conformance. Details that the disposition of the product will be to send the product to the employee store.

- Employee store inventory record shows reception of product

 

Is your juice pasteurized? Be aware that if your recipe deviates too much your pasteurization process may not be valid anymore. It's very important in situations like this to show that the product is still safe to consume. Make sure that all the standard food-safety testing is still being done and your investigation covers this detail. If there is doubt that the product can be proven safe, your disposition should be to destroy it.

 

Keep in mind too that I am not Canadian and don't have a grasp on the finer details of the Canadian standard. I would wait for input from one of our Canadian users  :sorcerer:

If you have a product disposal form or other areas for recording loss, maybe include that but mention on the form that x number of bottles were permitted to be taken by staff.

 

Hell, simply attaching a signed letter written by you with an extra signature or two detailing this event would be sufficient in my mind.  Unless you're going to run into this often enough to warrant making a form for employee gifts, I'd document it as a one off and file the letter with the batch record.
