Attached is an email (from the management) regarding the policy on product storage and disposal of another subsidiary. My boss instructs me to draft a procedure out of the attached email. The management has sent a memo to the merchandising team that they are not allowed to reject any deliveries unless it’s a wrong delivery. In that case, they need to call the Merchandising Manager for approval. Then if there are off specs delivered, they would need to report the issue to QA and merchandising manager. QA the will raise a CPAR. Back to procedure writing though. I’m confused if I should write how the management thinks the process should work, or I should write a procedure that reflects what is actually done. I’m planning to gather data by interviewing the people who do these tasks and ask them how to perform their job, or set a meeting with the management. Whenever I talk to the management, I am often loosing touch, questions to ask because primarily there are two points that must be considered, its either we fear that we ask a question which doesn’t make sense to them and the choice of words that we used. Any tips about the good questions to ask adequate to complete the procedure are very much appreciated. I also want to provide recommendations on food safety or allign the procedure to ISO 22000. Thank you in advance.

Dear MOM,

The ISO 9001:2000 has a policy of "Do what you write, write what you do." And this system draws a basic management framework. The duties, the targets are involved within this definition. This system involves how the communication will be provided, the processes, the work flows, the job definitions, the tasks and the empowerment of the employees.
