4.16.5 The company shall have procedures for the transport of products, which shall include:

• any restrictions on the use of mixed loads
• requirements for the security of products during transit, particularly when vehicles are parked and
unaended
• clear instructions in the case of vehicle breakdown, accident or failure of refrigeration systems, which
ensure that the safety of the products is assessed and records maintained.
 

Does the "transport of product" include trucks used for receiving of raw materials and shipping of finished products?

 

I am not sure if we need to ask our suppliers to secure the trucks on which raw materials are shipped to us and not sure if our suppliers can meet this requirement as we mostly receive ingredients on less than a truck load including FEDEX shipmetns. Can anyone shed some light on this? 

 

For finished goods, our company owns a truck, which is used to ship finished products to external storage warehouses in town. Our truck is not secured either. Do we need to secure our truck since it is used for in-town delivery only? From the external storage warehouse, products are shipped to different distribution centers across the country. Do we need a control procedure for transport trucks used from warehouse to DCs?

 

Can anyone guide on how to meet this clause under these conditions?

Hi Simmie,

 

Transport of products is for sure finished goods, but should also cover goods received. We deal with a lot of LTL, and have agreements with our carriers (general carriers such as Fedex, etc.) that they must have security for LTL freight. We check this for both shipping and receiving. It doesn't have to be a seal. A lock is sufficient. This should also be in place for your own vehicle. The idea behind it is to prevent any unauthorized access at any point during shipping. You should also have security requirements for shipping from your external storage.

 

Remember, you have to prove everything, so make sure you have some kind of shipping/receiving record to show security for each load. This may be on the BOL, receiving form, or similar.

 

This should tie to 4.16.6 (third party distribution) and 3.5.3.1 (suppliers of services - transport and distribution).

I am not sure on security contract for shipping from warehouses, so need to work on this.
