Template Letter for requesting supplier become GFSI certified

Here is a sample: 

 

Dear Vendor,

 

I hope this letter finds you well. I am writing to you today to express my concerns regarding the safety and quality of the products that I purchase from you. As a responsible buyer, it is my duty to ensure that the products I purchase are safe for consumption and meet the highest standards of quality.

 

In light of this, I strongly urge you to consider obtaining a Global Food Safety Initiative (GFSI) certification for your products. The GFSI is a globally recognized benchmarking organization that sets standards for food safety and quality management systems. By obtaining GFSI certification, you demonstrate your commitment to producing safe and high-quality products that meet international standards.

 

I understand that obtaining GFSI certification requires a significant investment of time and resources, but I believe it is a worthwhile investment for the long-term success of your business. By obtaining GFSI certification, you not only ensure the safety and quality of your products, but you also gain a competitive advantage in the marketplace and increase customer confidence in your brand.

 

Therefore, I am requesting that you take immediate steps to become GFSI certified. If you are unable to do so, I regret to inform you that I will not be able to purchase your products. I am looking for a template or sample of a letter for us to send to our suppliers informing them that we need them to become GFSI certified.

I don't see why not a normal form letter on company letterhead....

 

Doesn't need to be anything special to let them know that.

Dear Joe,

We recently updated ou Approver Supplier program to include a requirement that all suppliers are certified under any one of the following GFSI Food Safety scheme's:

SQF, BRC, IFS, Global Gap, etc.

In order to remain in compliance with our Approved Supplier program XYZ Baking will require that Bishop Flours become certified within 1.5 years of receipt of this letter.

Based on the length of time it took XYZ Baking to become SQF certified, we believe this 1.5 year period will be enough time for your company to complete all the neccesary steps from planning straight thru to the required SQF audit series.

I have attached a copy of our updated Approved Supplier program that contains our expectations for your company such as providing us with updates on progress, requirement for submission of an annual SQF certificate, etc.

Please contact me (within 10 days) to let me know the GFSI certification scheme your company has decided upon or to inform us that you do not intend to get certified.

Also, since XYZ Bakery is presently SQF certified I would be pleased to discuss with you the steps that we took in order to achieve certification.

This is basically what we are using for our new 77 (name pending trade mark) location retail store chain.

We include what happens if a supplier is not or will not become certified in the program itself and not in the letter.

We send the letters by certified mail.
