Hi there, 

 

In the requirement it is mentioned that there has to be be "clearly define service expectations and ensure that the potential food safety risks associated with the service have been addressed." - how do you define these expectations in the contract (for laundry services, external lab, maintenance service suppliers like electricians and so on.) or maybe you send and additional document to the service company to sign? Could you please share example? 

 

 

Also one more thing I was wondering about. it is regarding the training to the service providers that will be on a site. What exactly the training is including - allergens, HS, maybe more...? And of course I think the level of the training also is a little tricky part, how much training they have to get, like for example about allergens...? We are in the process to certify us, so please be patient with my questions :D

Expectations for : 

 

External laboratory service : 

 

- collection time and booking process 

- samples transport and on site arrival (temperature, cross-contamination etc) 

- processing time 

- presumptive (outside the agreed specification) early alerts 

- out of hours contact details 

- retain time of positive pathogens

- UKAS and accreditations and their suspensions 

- communication - how do you want to receive results (website/email)

 

Service providers visiting your site should be informed about : 

- PPE (coats, mop caps, beard snood etc) 

- Jewellery, make up, nails, etc 

- Personal items (key rings, money etc) and pens should be replaced with metal detectable pen 

- Allergens 

- Eating & drinking 

- Dressing (blue metal detectable plasters) 

- Maintenance debris ( for example : Any cutting, drilling, welding, or any similar types of work will not be allowed unless appropriate control measures have been agreed upon beforehand, all debris is cleared and all tools are accounted for, upon completion of your duties) 

- Medicines 

- Hand washing

may contain lubricants, oil with allergens, or filters (sesame).This should be reported.

for example : 

 

- Narrow your list to prohibited allergens on site (if you have any), list them all with photos. 

- Let them know that they are not allowed to handle any food items without authorisation from the Technical manager

Hi INL,

 

Service providers will need to acknowledge your site rules and all of their personnel attending site briefed and sign that they understand the rules.

 

In addition, where there is a greater risk such as with maintenance contractors there should be a ‘permit to work system’ in place which includes any precautions to be taken and where necessary a documented handover back which depending on the risk may require cleaning and then inspection by an authorised person.

Don't forget licenses, certifications and insurance etc.  We separate the requirements for service providers that do not enter our production areas from those who do.  All people that enter the plant who are leaving the Conference room (office) or laboratory area of the plant are required to have and sign our GMP training form.  

 

Outside Maintenance people (most of them do not work directly in the production areas) are escorted when in the plant.  No outside chemicals or lubricants are allowed to be used in any area of the facility unless it has been approved prior to use.

 

 At no time is a contractor allowed in a production room when production is in process. We are a batch manufacturer with onsite maintenance and can remove all product from the room and then return to production once the issue is resolved, so it is easier for us.   

 

My advice is to keep it simple, based on risk.
