I won't copy past my procedure, but I'll sum up:
- Finished product is labeled with 'Quality Hold' placard and production sheets compiled for office
- The office is provided production sheets which they use to enter lot in a quality hold stock location in SAP, as well as adding to a googlesheet 'product release record' which has pertinent info
- Samples are sent to be evaluated in our sister facilities lab
- I scan the product release record every morning to see if any product is still on a quality hold
- If there is product on quality hold I check the data sheet from our sister lab which they populate as they run analyses on various products (by lot/prod#)
- If the analysis required for that product code/lot is complete
- I create a CoA using the analysis data from the lab
- I update the product release record and move the product from quality HOLD in SAP to general
- I email the created CoA to the office and inform them it's ready to ship
- Office contacts production with lot#, prod# and informs them to remove the quality hold placards (and ideally stage it but currently our warehouse size doesn't allow that)
Ideally this means we can't ship product because it will be
- In a hold location in SAP which can not be shipped from
- On a product release sheet as not released
- Have quality hold placards on the product which in theory would set alarms off in the head of the operator/shipper
