can anybody help me on how we go about preparing a traiining schedule and notes?

I created a matrix of job functions on one axis and the necessary training on the other.  I keep a list of employees with their job functions.  We have several employees in multiple functions so this has worked well for me.

 

There is training software out there that will organize it for you, but not all training software is good to use for every operation.  If you're small, I suggest simple.  If you're multi-site, a robust software package might be in need.  If you go robust software, be prepared to have someone dedicated to maintaining the data and understand the labor required.
