Does anyone have a policy or procedures for any of the following please:

Electronic video recording of visitors
Drain cleaning for blocked drains
Emergency services staff going into the factory, Paramedics, Firemen etc

!. We have a decleration on our signing in sheet that the site is covered by CCTV, which i would say should suffice. If you are concerned with them bringing recording equipment in, again on our sign in hygiene rules we state that no mobile electronic devices are permitted in production areas.

2.We have drain cleaning on our cleaning schedules. You need to decide how often you want to clean your drains (depends what's going down them!). they should also be on your environmental monitoring schedule.

3. Our Crisis Management procedure has a clause with something along the lines of " During an emergency, the rescue services will be granted access to production areas, without having to change into site allocated protective clothing, by the senior most manager present. After the emergency has passed, and where applicable, the area will be cleaned prior and inspected by the Quality / Hygiene managers who will agree to the re starting of production. This inspection by QA / Hygiene must be documented on both the production records and in the Crisis Management log"

For the drains we do have them on the schedule but we had an emergency last week and had to call in Dynorod, but I guess a combination of your Emergency services clause and our own engineering return to production procedure would work.

Caz's reply as usual is spot on. The only thing I would like add is do not use pressure washers for drain cleaning.

It loooks like someone has had or is expecting a Tesco Audit?

I recently invented some new procedures for unblocking drains and an emergency entrance procedure to comply with Tesco... PM me an email address and i'll send what i have.

HI

This was how I set out our Emergency Entry procedures:

Situations may arise where emergency access is required to the production and storage areas of the facility. Depending on the type of emergency, the requirements for clean up prior to resumption of normal business may vary:

Police ~ Persons, equipment, dogs.
Ambulance ~ Persons, equipment, chemicals.
Fire Service ~ Persons, equipment, chemicals, water

While the incident / emergency is taking place, personnel will be suitably protected and controlled to prevent the effects of the incident being widened.

Some or all of these activities may be involved. Immediately following such an incident

- A multi disciplinary Senior Management / Director team will take charge of the scene.
- A thorough facility assessment will be conducted.
- The impact of the emergency on product and equipment, services and structures will be assessed
- The scope of the affected area(s) and the products within said area(s) will be set
- A planned clean up will be undertaken to include facility cleaning, product disposal / rework, equipment cleaning / repair etc.
- Following completion of all scheduled clean up tasks, the area(s) will be reassessed for suitability to resume normal production and storage activities.
- If the results of this assessment are positive, business practices shall be allowed to resume.

As it is impossible to address every possible scenario, showing due consideration of the most likely ones should be sufficient.

In reality this is one of those 'curve ball' questions that the auditor will throw in just to see how well you've read the standard!

Blocked Drain Procedure:~

In the event of any drains within the production and storage areas becoming blocked the following procedure must be followed :

● on detection of the blockage, the immediate vicinity must be sealed of to prevent any vehicle or pedestrian traffic through the area.

● any product or packaging close to the area must be removed immediately to ensure there is no contamination risk.

● a member of management must be contacted to take control of the situation, and the maintenance department alerted as soon as possible.

● only the drain cleaning equipment designated to production / storage areas may be used.

● the blockage must be rectified in a manner which limits contamination of the surrounding area as much as possible.

● adequate time and resource must be given to completing the task satisfactorily.

● post repair, the area must be fully and effectively cleaned. All equipment etc must be removed from the production / storage area.

● The cleanup should be documented on the cleaning schedule, with notes to explain occurrence.

● The area must be inspected and signed off by a Manager prior to normal working practices resuming.

● in the event of contamination by spillage from the blockage, any affected product or packaging must be quarantined and disposed off in the correct manner.


***Just make sure that you have a drain cleaning / unblocking kit on site specifically for the internal area - they may ask to see it!
