Air Handling Units service provider Documentation

Hello everyone,
we are a warehouse facility, we have an outsourcing company that operates and maintain our AHU system
What documents need to be provided from them to monitor their performance and their emergancy response.

Hi Osama, welcome to the forum. You could send them a Questionnaire with all questions you want to ask them about their performance and emergency response.

To establish maintenance is performed, you could use monthly/quarterly/... bills and receipts that show you are paying for their services.
To establish performance, document any of their maintenance activities. Parts replacement, cleaning, etc.
You could also conduct air testing in your facility to show that filters are working correctly. This something you would have to do.
To establish emergency response, ask if they have a 24-hour contact. Ask how quickly they would be able to respond to an emeergency such as an AHU failing outside of business hours. Make a page with the company's emails, phone numbers, and any other contact info you will use in an emergency.
Keep this in a binder with the receipts and maintenance logs.

Is the Company certified/accredited to any related Standard/Organisation or Member of a recognised Group ??
